I recently made a moderate PowerPoint presentation for an Internet technology company. The 27 foil presentation had images on almost every slide. The images occupied less than a quarter of the foil space. And since I did this in a tearing hurry, I did not bother to reduce the size of the images before inserting these on the slides. I simply dragged image handles to reduce the size on the foil.
When the presentation was finally completed and I had to mail it to the client, I got a little shock: the size of the file was a hefty 6 MB! There was no way a file that size would slip past my company firewall at peak time.
Then I recalled that PowerPoint had a feature for compacting images. So I compacted one image and then all the other inserted images in the file with a few clicks (not 27 times). Once all the images were compacted on the foils, I saved the file and checked its size.
I was amazed to see that the file size had shrunk to 1 MB!
Here’s how I did it:
1. Open the presentation; get to the foil with the inserted image. 2. Right-click on the image and select ‘Format Picture’ from the context menu. 3. In the Format Picture dialog box, click on the ‘Picture’ tab. 4. Notice the ‘Compress…’ button at the bottom of this dialog box. 5. Click on the ‘Compress…’ button. 6. In the resulting Compress Pictures box, under Apply to, select ‘All pictures in document.’ 7. Under Options ensure that ‘Compress pictures’ and ‘Delete cropped areas…’ are selected. 8. Click ‘OK’ ‘Apply’ and ‘OK’ in the sequence of resulting dialog boxes. 9. Save and close the file. Review its size.
